Note: Your phone supports wired headsets, including electronic hookswitch (EHS) headsets.
For connection directions, refer to your headset documentation. Standard headsets typically use the RJ-9, while EHS headsets use the RJ-9 and serial port.

LIMITED WARRANTY. Polycom warrants to the end user (“Customer”) that this product will be free from defects in workmanship and materials, under normal use and service, for one year from the date of purchase from Polycom or its authorized reseller. Polycom’s sole obligation under this express warranty shall be, at Polycom’s option and expense, to repair the defective product or part, deliver to Customer an equivalent product or part to replace the defective item, or if neither of the two foregoing options are reasonably available, Polycom may, on its sole discretion, refund to Customer the purchase price paid for the defective product. All products that are replaced will become the property of Polycom. Replacement products or parts may be new or reconditioned. Polycom warrants any replaced or repaired product or part for ninety (90) days from shipment, or the remainder of the initial warranty period, whichever is longer. Products returned to Polycom must be sent prepaid and packaged appropriately for safe shipment, and it is recommended that they be insured or sent by a method that provides for tracking of the package. Responsibility for loss or damage does not transfer to Polycom until the returned item is received by Polycom. The repaired or replaced item will be shipped to Customer, at Polycom’s expense, not later than thirty (30) days after Polycom receives the defective product, and Polycom will retain risk of loss or damage until the item is delivered to Customer.

EXCLUSIONS. Polycom will not be liable under this limited warranty if its testing and
examination disclose that the alleged defect or malfunction in the product does not exist
or results from:

  • Failure to follow Polycom’s installation, operation, or maintenance instructions.
  • Unauthorized product modification or alteration.
  • Unauthorized use of common carrier communication services accessed through the product.
  • Abuse, misuse, negligent acts or omissions of Customer and persons under
    Customer’s control; or
  • Acts of third parties, acts of God, accident, fire, lightening, power surges or outages, or
    other hazards.

WARRANTY EXCLUSIVE. IF A POLYCOM PRODUCT DOES NOT OPERATE AS
WARRANTED ABOVE, CUSTOMER’S SOLE REMEDY FOR BREACH OF THAT
WARRANTY SHALL BE REPAIR, REPLACEMENT, OR REFUND OF THE PURCHASE

SIP Mode

After you connect your phone for SIP use, and your phone starts, you need to minimally configure your phone so it can operate properly. You can conveniently configure the phone using the Polycom Web Configuration Utility.

To set up the phone for SIP use:
  1. Launch a web browser from a computer on the same network as your phone.
  2. In the address bar of your web browser, enter the IP address of your phone, and then press
    the Enter key. To find your phone’s IP address, press on your phone, and then select Status > Platform > Phone. From the Phone screen, scroll to the IP address.
  3. From the Web Configuration Utility login screen, select Admin, and then enter the administrator’s password.

Note: The default password for an administrator is 456.

4. From the Main Menu, select Simple Setup to display the minimum set of options you need to configure, as shown next. Enter the relevant information for your phone, and then click Save.

Your phone will now be registered, and you can place and receive calls. You will know your phone is registered if the Registered icon, , displays on the idle screen, as shown next.

PSTN Mode

After you connect your phone for PSTN use and start it for the first time, your phone will automatically prompt you to enter certain information.

To set up the phone for PSTN use:
After your phone starts for the first time, the Select Country screen automatically displays, as shown next. Use the Down Navigation key to select the country your phone operates in, and then press the Select soft key.

After you select the country, the Select Language screen displays, as shown next. Use the Down Navigation key to select the language you want your phone to display, and then press the Select soft key.

After you enter the country and language, your phone updates its settings and displays the idle screen, as shown next.

Upgrading Your Phone’s Software

Polycom recommends that you upgrade the software on the phone so it uses the latest version.
To upgrade the phone’s software:

  1. Log in to the Web Configuration Utility as an administrator. The default password for an administrator is 456.
  2. From the Main Menu, select Utilities, and then select Software Upgrade.
  3. From the Software Upgrade screen, choose to look for software from either the Polycom Server or a specified Custom Server.
  4. Click Check for Updates to display the available software versions on the specified server.
  5. From the drop-down list, select a software version.
  6. To install the software, click Install.

Note: If you are unable to upgrade your phone’s software, see your network administrator or the Administrator’s Guide for the Polycom UC Software.

VOICEMAIL

Voicemail Setup

  • To set up Voicemail, Dial *98 or press the icon with the envelope on it.
  • Contact EPB for your temporary PIN number.
  • Follow the prompts to change your PIN and set up your greetings. Checking Voicemail
  • Dial *98 or press the icon with the envelope on it.
  • To check remotely from outside of the office, Dial 423-648-6245 then Enter your 10-digit phone extension and follow the prompts.
  • After three failed attempts to access your mailbox, you will be locked out. Your phone administrator or EPB can reset the PIN to unlock your account.
  • We can also set up Voicemail to Email where you will be sent an audio file of the message.

TRANSFERRING A CALL

Consultative Transfer

  • Press the Transfer key.
  • Press the Consult key which places the caller on Hold.
  • When you hear a dial tone, Dial your extension and press send.
  • When the extension picks up, tell them who is calling.
  • When the extension is ready to accept the call, Press the Transfer key a second time.

Blind Transfer 

  • Press the Transfer key.
  • When you hear a Dial tone, Dial your extension and press send.

CHECKING MISSED, PLACED, AND RECEIVED CALLS

  • To check Missed calls, press the down arrow key on the directional pad.
  • To check Placed calls, press the right arrow on the directional pad.
  • To check Received calls, press the left arrow on the directional pad.

FORWARDING YOUR PHONE

Forwarding Setup

  • Dial *72 followed by the 10-digit forwarding number and you will hear a fast beep.

Removing Forwarding

  • To Remove call forwarding, Dial *73 and you will hear a fast beep.

ANSWERING ANOTHER CALL WHILE ON AN ACTIVE CALL

If a call is in progress and another call is coming in, you will see the screen indicate the new caller and hear a call waiting beep.

  • Press the Answer key to speak to the new caller. The first caller will be placed on Hold.
  • The screen will now show the two callers, the one you are speaking to will be highlighted.
  • To go back to the first caller, highlight the number using the arrow key and press
    Resume. The other caller would now be placed on Hold.

SET UP A 3-WAY CONFERENCE CALL

  • When a call is in progress, press the More soft key and then press the Conference button
  • Dial the extension or 10-digit number you wish to conference.
  • Speak to the person and see if they are available to join first. Then press the More soft key and then the Conference key again to start a 3-way call.

USING CALL PARK

Call Park allows you to place a call, on hold that can be retrieved from any other phone that shares those same Park keys.

  • While on an active call, press a Park key that is not in use (if Park is not visible press the home key). The call will be parked and the Park key will blink indicating it is in use.
  • Dial the extension of the recipient and tell them they have a call on Park.

INTERCOM

  • Press the Intercom/ICOM soft key.
  • Dial the extension of the party you’d like to Intercom. (Note: there will be a warning tone/ announcement when active, and both parties will be able to talk back and forth without lifting the handset.)

WEB PORTAL
Enables you to manage your phone system via a secure, online portal.

  • Go to Phone.epbfi.com. · Enter your direct dial number and your voicemail PIN.
  • From here you can update phone buttons, manage the forwarding function, check voicemail messages, set up voicemail-to-email, see your last 10 calls, block numbers, set up speed dials, add shortcodes and make calls using the Make-A-Call button.
